About ITC Conference Grants

What is a ITC conference grant?

ITC conference grant is grant aimed at young researchers and PhD students from ITCs to attend beneficial international conferences that are not organised by COST Actions.

Who can apply?

ITC Conference Grants aim at supporting PhD students and ECI researchers (an individual who is within a time span of up to 8 years from the date he/she obtained the PhD/doctorate (full-time equivalent)) from ITC country, to attend international science and technology conferences related to the scientific objectives of the COST Action CA22155 PoTaRCh. Please read carefully the details in Memorandum of Understanding (MoU), if the applications do not respond to the needs of the MoU, it will not be considered.

Which countries are considered as ITC?

Bosnia-Herzegovina, Bulgaria, Cyprus, Czech Republic, Estonia, Croatia, Hungary, Lithuania, Latvia, Luxembourg, Malta, Montenegro, Poland, Portugal, Romania, Slovenia, Slovakia, the former Yugoslav; Republic of Macedonia, Republic of Serbia, and Turkey.

Applications will be evaluated in order of arrival according to the specific regulations of ITC Conference Grants.

What financing conditions must be respected?

1. Up to a maximum of EUR 1000 in total can be afforded to each successful applicant. 

2. Documentary evidence of the conference fee amount shall be provided by the applicant. Multiple applications to several Actions by the same person to attend the same conference is forbidden. 

How to apply?

Interested researchers can apply by following the directions provided below and submitting their application and supporting documents on-line via the COST.

The application process is as follows:

1. Applicant submits a proposal via e-COST (including motivation letter, conference abstract, and the name and topic of the conference). The applicant must complete the template ( and upload it in e-cost together with other supporting documents:

2. The Grant Awarding Coordinator checks the proposal for formal eligibility. 

3. The applicants will be able to download their Grant Notification Letter through e-COST as soon as the application is approved.

The approval of applications will be based on: 

1. the scientific scope of the conference which must support the implementation of the overall scientific objectives of the Action, as described in its Memorandum of Understanding (MoU), If the applications do not respond to the needs of the MoU, it will not be considered.:

2. the applicant’s background and motivation. 

3. priority will be given to PhD students. 

How to report of Dissemination Conference Grant?

1. After the granted conference, the Grantee must give a report, which includes

a) a certificate of attendance to the ITC Conference Grant Manager of the Action and the Action’s Grant Holder.

b) information about how the seminar was valuable to the COST Action, what deliverables were produced, and which methods were used.

c) clarification of the connection to the Working Group(s) of the Action (WG1, WG2, WG3, WG4 or WG5?) Please find more in MoU.

2. The Grantee will contact to Science Communication Coordinator  Dr Jakub Brózdowski ( and send him a report of the conference including photos to be used on the website and social media of the Action.

Failure to submit the scientific report within 30 days from the end date of the ITC will effectively cancel the Grant.
